We are so happy to be welcoming you on board for our 2026 festival! In this community hub you can find important information on this year's event & some useful points to remember ahead of the day. Please read carefully and reach out to our team if you need any futher support:

Stallholders Checklist & Important Information
​
Payment for the stall
You will receive an email confirming your registration, with invoice, stall payment details, and refund policy. Please make sure it will be paid in time, so we can add you to our stallholder list as soon as possible!
Donation details:
- £60 donation– Charities & organisations with an income under £100K p/a
- £150 donation– Organisations with an income between £100K and £200K p/a
- £250 donation– Organisations with an income over £200K p/a
- However, we welcome any contributions in support of the success of this year’s event, and future events under the Edinburgh Climate Festival's banner.
If you’re facing financial constraints, please get in touch, and we can discuss alternative options.

Social Media
Please remember to send us photos of your stall to edinburghclimatefestivalmedia@gmail.com, so we can start advertising our stallholders! Yay!
The Social Media Toolkit will be shared here soon, so you will be able to use it for your own advertising!

Important Logistics Information
​
Festival Time
The festival runs from 12:00 pm to 7:00 pm. Set-up for stallholders will take place between 9:00–10:00 am, and take-down will begin at approximately 7:00 pm. Stallholders are expected to remain present and operating from the start of the festival at 12:00 pm until it closes at 7:00 pm. As the day is quite long, we recommend bringing volunteers or team members to help manage your stall. Stall allocations and exact arrival times will be confirmed and shared closer to the festival date.

What is provided?

Each stall space is approximately 3.5m x 3.5m. If you require additional space, please let us know in advance.

You are provided only with an empty space. Equipment is not provided, so please bring your own gazebos, tables, chairs, stationery, and any other necessary items that you need. Electricity is also not available.

Our Theme
​
Following last year’s Root and Rise theme, this year we look beneath the surface to mycelium — the underground fungal network that connects forests, sharing nutrients, protection and communication so ecosystems can thrive together. Inspired by this “wood wide web,” our 2026 theme, Intertwined, is a reminder that we are not separate from nature but deeply connected to it and to one another. In the face of climate challenges, collective action, shared resources and mutual care make us stronger. Whether you’re new to sustainability or deeply rooted in climate work, join us to build a hopeful, resilient, and interconnected community.
How to celebrate our theme?
There are so many creative ways to bring the theme to life! If you’re running a stall, consider decorating your space to reflect the theme, dressing in themed outfits, or interacting with your audience in a way that captures its spirit. Hosting an activity, performance, or art installation? Think about how you can weave the theme into your concept, presentation, or overall experience.
However you choose to participate, make it your own and have fun with it! If you’d like support or inspiration, feel free to reach out — we’d love to brainstorm ideas with you.
​Building our ECF Community
​
We also want to make our Festival Community more connected this year, and we want to give you an opportunity to meet each other! In our confirmation email, you will receive info about our new WhatsApp group with all stallholders, performers, artists so you can all meet each other! We will be also organising a social event in May for all of you! We will be sharing more information here, so stay tuned!
​Sustainability
​
We are doing our very best to make this festival as sustainable as possible, and we’d love your support in helping us reduce our environmental impact. Here are some of the initiatives we’re introducing this year:
Travel sustainably - Please try, where possible, to arrive by public transport.
Decorate consciously - We encourage you to decorate your stall using recycled or reused materials.
Bring Your Own (BYO) - We will be encouraging attendees to bring their own takeaway cups & containers to reduce waste.
Zero-Waste Raffle - We will be organising a zero-waste raffle for those who bring their own containers, promoting reduced packaging — take part and help spread the message!
Single-Use Fee - A small fee will be introduced for single-use items at food vendor stalls to encourage visitors to bring reusable containers.
